Ask your building files
Ask a plain question. Get a short answer, with the document and page it came from.
In the full software you type any question into this box, in your own words. There are no keywords or folder paths to learn, and one search box covers every document for the building: drawings, O&M manuals, service reports, certificates and warranties. In this demo the box is fixed to four example questions, so pick one of the buttons below.
Try each example. Found means the answer is in the files. Not in the files means the document you would expect isn’t there. Can’t read this copy means a file exists but is too blurred to trust. It never guesses.
The small numbers link each fact to the document and the exact page it came from. Click one, or a source underneath, to check it in seconds. Answers come only from this building’s documents.
This is the source page itself, with the passage the answer relied on highlighted. When an answer has more than one source, “Next source” steps through them.
Each document keeps its folder, page count and the equipment it mentions. That is how answers, the equipment register and the document list all point back to the same page.
Equipment register
Built from the manuals and service reports. Every line links back to the documents it came from.
The register lists the main plant and systems, with the last record and the next date due, read from the manuals and service reports. Every row links back to the documents it came from.
| Ref | Item | Location | Last record | Next due | Status | Sources |

Action noted means an engineer recommended work, such as replacing the condensate pump. Record missing means something you would expect isn’t in the files: here the lift has service visits but no LOLER thorough examination report.
Buildings and documents
Each building is linked to its folder. Scans are read automatically, and new files are picked up as they arrive.
You give read-only access to each building’s folder. Nothing needs reorganising first, and new files are picked up as they arrive.

Files that are already searchable are used as they are, and scanned pages are turned into text. A copy too poor to read, like the blurred phone photo of the roof warranty, is flagged so you know what to upload again.
